This notice explains how DAKDAN Talent and prospective employers handle your data during the job application process. This supplements our Privacy Policy with application-specific details.

1. Who Processes Your Application Data

DAKDAN Talent (Platform Provider)

Role: Data Controller for platform services
Responsibilities:

  • Facilitating job applications and employer connections
  • Providing job matching and recommendations
  • Storing and securing your application materials
  • Platform analytics and service improvements

Employers (Hiring Organizations)

Role: Independent Data Controllers
Responsibilities:

  • Reviewing and evaluating your application
  • Making hiring decisions
  • Conducting interviews and assessments
  • Compliance with employment and data protection laws

Each employer is responsible for their own privacy practices. Review employer privacy policies separately.

Sensitive Data

We may collect sensitive personal data (special categories under GDPR/UK GDPR) only with your explicit consent or where legally permitted:

  • Health data: For reasonable accommodations (only if you request)
  • Disability status: For accessibility support and equal opportunities monitoring
  • Race/ethnicity: For diversity monitoring (anonymized, separate from hiring decisions)
  • Criminal records: Only for roles requiring background checks (with consent and legal basis)

You can withdraw consent at any time. Refusal will not affect your application.

4. Who We Share Your Data With

Employers You Apply To

When you click "Apply," your application materials (resume, cover letter, responses) are shared with the hiring organization.

What they receive: All data you submit in your application + profile information you've made visible
Their responsibility: Each employer is an independent controller bound by their own privacy policies

Service Providers (Processors)

We share data with trusted third-party processors under strict agreements:

  • Cloud Storage: AWS, Google Cloud (secure storage of resumes, documents)
  • Email Services: SendGrid (application confirmations, updates)
  • Background Check Providers: Only when authorized by you and employer
  • Video Interview Platforms: Zoom, Microsoft Teams (when used for interviews)
  • Assessment Providers: Skills testing platforms (when required by employer)

All processors bound by data processing agreements (GDPR Art. 28 compliant)

University Partners (with consent)

If you're a student and your university partners with us, we may share aggregated (anonymized) employment outcome data with your career services office to help them improve programs. Individual application details are NEVER shared without your explicit consent.

5. How Long We Retain Your Application Data

After Retention Period

When the retention period expires, we securely delete your application data or anonymize it for statistical purposes (where anonymization is irreversible). You can request earlier deletion by contacting privacy@dakdantalent.com, subject to legal obligations.

6. Your Rights as an Applicant

You have the following rights regarding your application data:

Request deletion of your application (subject to legal retention requirements)

Withdraw from Process

Withdraw your application at any stage

Object to use of your data for marketing or non-essential purposes

Data Portability

Receive your data in machine-readable format to transfer elsewhere

We respond within 1 month (GDPR/CCPA compliant). Identity verification may be required for security.

7. Automated Decision-Making & AI

Our Commitment

We do NOT make hiring decisions solely based on automated processing. All AI-powered tools assist human decision-makers, never replace them.

Resume Parsing

What it does: AI extracts information from your resume (name, education, experience) to populate your profile
Impact: Low - you can edit all extracted data
Human oversight: You review and confirm all information

Job Matching Algorithm

What it does: Suggests relevant jobs based on your skills and preferences
Impact: Low - suggestions only; you choose where to apply
Human oversight: You make all application decisions

Employer-Side Resume Screening

What it does: Some employers use AI to rank/filter applications
Impact: Medium - may affect review priority
Human oversight: Employers must review applications; you can request human review
Your rights: Contest decision, request explanation, opt out where permitted

Note: Employers using AI screening must disclose this and comply with anti-discrimination laws. Report concerns to ai-ethics@dakdantalent.com

8. International Applications

If you apply to jobs in different countries, your data may be transferred internationally. We ensure compliance with:

  • EU/EEA applicants: GDPR Article 44-50 safeguards (SCCs, adequacy decisions)
  • UK applicants: UK GDPR international transfer requirements
  • California applicants: CCPA cross-border transfer protections
  • All applicants: Encryption in transit and at rest, secure data centers
